Frequently Asked Questions
How much does a corporate event photo wall cost?
EventWall's Free plan costs $0 and includes 50 posts with the wall active for 3 days, enough for a single meeting or small gathering. The Plus plan is $39 per event, with 500 posts, 30 days of access, and video uploads. The Pro plan is $79 per event, with 1,000 posts and 60 days of access. Pricing is a flat fee per event rather than a recurring monthly subscription.
How many participants or photos can it handle?
The post limit is shared between photos and text messages rather than counted per guest: the Free plan allows 50 total posts, Plus allows 500, and Pro allows 1,000. A team offsite or company party with a few hundred attendees fits comfortably within the Plus plan even if some guests post more than once. A large conference expecting over 500 uploads should use the Pro plan instead.
Do guests need to download an app to post photos?
No app is required. Guests scan a QR code displayed at the venue, which opens the upload page directly in their phone's browser. They post a photo or a written message in a few taps, and it appears on the live wall right away.
How is content moderated on the photo wall?
Organizers can turn on moderation so every upload is queued for approval before it appears on screen, which suits formal conferences and brand-sensitive events. Uploads can also be set to appear automatically for a faster-moving event.
Can the photo wall be branded for our company or organization?
Yes. On the Pro plan ($79 per event) you can add your company's logo and brand colors, or import both automatically by pasting your website address. Your branding appears on the live wall, the guest upload page, and the photo gallery, and text contrast is adjusted automatically so the wall stays readable from across the room. EventWall also includes 8 visual themes; the Free plan is limited to the default theme, the Plus plan unlocks 4 themes, and the Pro plan unlocks all 8. Branding is set up in the event's settings and requires no design or technical skill.
What screen or AV equipment does the wall need?
The wall runs as a web page in any browser, so it displays on a smart TV, a conference room screen connected to a laptop, or a rented projector — no dedicated app or hardware is required. A stable internet connection at the display device is the only requirement. This makes it workable for a fully equipped conference venue and for a community hall with a single borrowed projector alike.
Does it work for a multi-day conference?
A multi-day conference fits within the Plus plan's 30-day window or the Pro plan's 60-day window, both of which comfortably cover events running from a single day to a full week across multiple sessions or rooms. The same QR code and wall are reused for the whole conference, with new photos and messages continuing to appear live throughout. The 500 (Plus) or 1,000 (Pro) post limit applies across the entire conference, not per day.
Is it suitable for a club's annual meeting or association event?
The Free plan is built for exactly this kind of one-off gathering: it costs $0, includes 50 posts, and needs only a QR code and a screen or projector already at the venue. A local club's annual meeting, awards night, or season-ending celebration can run entirely on the Free plan without any AV equipment purchase or app installation for volunteers or members. Associations expecting more attendees can move to the Plus plan for 500 posts and 30 days of access.
Can photos be downloaded after the event ends?
Organizers on the Plus and Pro plans can download a ZIP file containing all photos and videos from the event. Written text messages are not included in the ZIP export; they remain visible on the live wall and in the gallery for as long as the plan stays active. The Free plan does not include ZIP export, so photos should be saved individually before the 3-day period ends.
How long is event data kept, and how is it removed?
Data retention follows the plan's active period: 3 days on Free, 30 days on Plus, and 60 days on Pro, counted from when the event is created. After that window, the event's photos, messages, and gallery are cleaned up automatically. Organizers on Plus or Pro should export their photos as a ZIP file before the retention period ends if they want to keep them.
Is guest data handled in line with GDPR?
Guest uploads are linked to a per-event access token rather than a personal account, and each event's data is isolated through database-level access rules so guests only see content approved for their own wall. Photos and messages are deleted automatically once the plan's retention period ends. Full details on data handling are published in EventWall's privacy policy.
What happens if the venue's wifi is unreliable?
Guests upload from their own phone's mobile data in most cases, since the QR code opens a web page rather than depending on the venue's wifi. Only the display device — the screen or projector showing the wall — needs an internet connection to receive new posts in real time. If venue wifi is weak, connecting the display device through a phone hotspot or a wired connection keeps the wall updating reliably.
